Fern House School
The brief
Fern House School (a SEND school; part of The Connected Education Trust) has had a whole new site built, ready for opening in Spring 2023. The Trust put out a mini competition through the DFE framework and YPO were the successful bidders for the majority of the loose furniture items and equipment required.
The challenge
YPO were asked to submit a mini competition tender which included a variety of different furniture products aswell as site maintenance, catering and cleaning equipment, as follows:
Site maintenance; power tools, ladders, cleaning equipment, grit bins, hand tools
Protective wear; overalls, goggles, gloves, etc
The process
The assigned Project Manager prepared the quotation and tender documents prior to the tender deadline date. Following tender clarifications, the contract for the supply of loose furniture was then awarded to YPO.
Further meetings and site visits took place with YPO’s Project Manager, the school and main contractor for the customer to confirm their colours/finishes required and raise any other queries regarding the supply, delivery, and installation of products.
YPO also formulated a delivery schedule to ensure only 4-5 deliveries were made per day. This ensured a steady flow of traffic within the housing estate that the school is situated. Van sizes and offloading times were also checked to ensure drivers could maneuver on site easily.
The Project Manager visited site at the beginning of the installation period to brief the install team and again at the end of the install period, to walk around site with the customer and action any snags. Communication played a key part along the way, where the customer was kept regularly updated.
The solution
YPO have provided a complete service from quotation to delivery, installation and sign off, of the loose furniture and equipment required at Fern House Schools new site.
