Terms and Conditions of Sale

These terms & conditions form part of the sale contract with Yorkshire Purchasing Organisation and apply to UK customers (including Channel Islands and BFPOs)

How to Order (See also our catalogue)

YPO is committed to providing our customers with the highest levels of service. To help us process your orders and queries as quickly as possible, please quote the following information on all communications:

• Your 6 digit premises/delivery code
• The product description and catalogue number of the item(s) on order
• The quantity of packs you require. For example, if you require 200 exercise books, supplied in packs of 100, you should state '2' as the quantity you require, not '200'

Please limit your order number to no more than 13 digits.

Ordering by Fax

You can fax stock orders to us on 01924 834926. To avoid duplication, please do not post the original.

Order Forms

If you wish you may use the order form contained in our catalogue. (You may prefer to photocopy the original and send your order on the photocopy.)

Prices

The prices listed in our annual hard copy and online catalogues are valid for the calendar year to 31 December that calendar year and supersede all previous catalogues. Prices of stock items will remain firm on all orders delivered in 2009 except in cases where our buying prices are substantially affected. Please note that the prices of Direct items may also be subject to change. You will be advised of any increase prior to despatch. All prices are quoted in good faith and do not form part of any sale contract. Errors and omissions excepted.

VAT

All prices are exclusive of Value Added Tax which will be charged at the prevailing rate. Our VAT number is 642 7206 51.

Price & Product Accuracy

Whilst we endeavour to ensure that our catalogue is as up-to-date and as accurate as possible, please note that our website at www.ypo.co.uk will always be the most current and accurate source of product and pricing information. All customers with a YPO premises code can have access to our website - please visit our website or email webit@ypo.co.uk if you need help accessing online ordering.

On occasion, goods may be discontinued for reasons beyond our control. Where a print error has occurred, we reserve the right to withdraw that item.

Some Your Finest, Your Choice and Your Price products may be supplied with alternative labelling or packaging to that illustrated but will be of the same quality and price.

Delivery

Stock items are delivered free with the exception of Scottish Islands and non UK mainland addresses where carriage will be charged at cost. Some of our suppliers charge for delivery of Direct items.

Small order charges

There is no minimum order charge on stock items ordered from our catalogues.

Property

Property in the goods will not pass to the purchaser until the goods have been paid for in full irrespective of whether delivery has taken place. We reserve the right to reclaim goods for which payment has not been received.

Product Descriptions

All measurements including size, capacity and weight are approximate and are as advised by our suppliers. Errors & omissions excepted. It is possible that product descriptions may vary due to a change in supplier specifications; in such instances every effort will be made to ensure the goods supplied are of equal or superior quality.

Product Suitability

We take every precaution possible to ensure products are fit for purpose and meet all relevant safety standards. However, in a catalogue of this scale, certain products may be included in a section which may not be suitable for a particular age group. It is your responsibility to check before purchasing that the item will not represent a danger for the children in your care.

PEFC Certification 

We have used to PEFC logo on all 2010 catalogue covers to show that the catalogue has been produced on paper from sustainably managed forest and controlled sources. The PEFC certification relates to the catalogue paper rather than the product featured on the cover page. 

Payment Terms

Payment should be made within 28 days of the date of invoice. Our preferred method of payment is by BACS: our account number is 61127605, sort code 08 90 20. Please email income@ypo.co.uk with the invoice numbers paid. We can also accept payment by cheque made payable to YPO. We reserve the right to charge statutory interest in line with the provisions of the Late Payment of Commercial Debts (Interest) Act 1998. We may consult a credit reference agency. 

Purchasing Cards

We are happy to accept payment by Local Authority or Government procurement card and provide level 3 line item detail. Please refer to the YPO website for more information.

We do not accept personal credit cards.

Returns, non delivery, shortage and damage

All stock items are covered by a 12 month 'no quibble' guarantee covering quality, durability and fitness for purpose.

Please report any discrepancies to Customer Services quoting the following information:

1. Premises/delivery code
2. Delivery note or invoice number
3. Order or requisition number
4. Catalogue number
5. The nature of the problem or reason for the return

Our carriers are authorised to collect goods provided a YPO collection note has been issued in advance by Customer Services.

Please note the following deadlines for reporting discrepancies:

• Damaged items: within seven working days of delivery
• Goods ordered in error: within seven working days of delivery
• Non receipt of a complete or part consignment: within seven working days of invoice date

Exceptions may be made for goods delivered during school holidays upon written request to the Customer Contact Manager.

We can only accept the return of goods ordered in error or surplus to requirements if they are returned in the original packaging and in a condition fit for resale within one calendar month of despatch and provided prior written authorisation has been received from Customer Services. A handling charge of 20% or minimum £10 whichever is the greater may apply.

We will not accept goods returned without prior authorisation or in a condition unfit for resale. These must be paid for in full by the customer.

Please note:

Items which we are unable to include in your delivery will be despatched separately as soon as possible and indicated on the delivery note as:

TO FOLLOW:  Do not reorder, we will send as soon as possible

DISCONTINUED:  Item unavailable and cancelled from order

ISSUES SUSPENDED:  Do not reorder, we will send as soon as possible

Return of Direct Items (Catalogue numbers prefixed D)

Please contact the relevant buying section quoting:

1. Premises/delivery code
2. Delivery note or invoice number
3. Order or requisition number
4. Catalogue number
5. The nature of the problem or reason for the return

A handling charge may apply. Please note it may not be possible to return certain items delivered direct from our suppliers.

Refused deliveries

We reserve the right to charge carriage and a 20% handling fee or minimum £10 whichever is the greater on any deliveries which are refused without a valid reason.

Supply of Goods for Personal Use

We are sorry but we are unable to supply private individuals or companies.

Data Protection

YPO is registered under the Data Protection Act 1998 and will safeguard your information in line with these requirements. In order to improve our service or for training purposes calls to YPO may be recorded or monitored.
